Privacy Policy

Summary
- We store what you enter: your account details, your teams and players, ratings, practices, games, lineups, pitching records, tryouts and imports.
- We do not sell your data and we do not show ads or run advertising trackers.
- We use a small number of service providers, listed below, to run the app. AI features send only the data described here, and only when you start them.
- You can export or delete everything from inside the app.
What we collect
- Account. Email address, coach display name, an avatar photo if you add one, preferences (theme, units, reminders, time zone).
- Team and player records. Team names, seasons, player names and jersey numbers, positions, league age if you enter it, skill ratings and notes, attendance, game results and statistics, pitching workloads, lineups, tryout candidates and evaluations. Coaches enter this information; obtain any parent or guardian consent your league requires before entering a minor's details.
- Content you create. Practice plans, saved drills, templates, reports you generate.
- Imported files. Stat CSV files are parsed on your device and only the rows you approve are stored. PDF box scores are uploaded so they can be read (see AI features below).
- Device and diagnostics. Device model, OS and app version, an installation identifier so we can sync and send reminders, and, if you choose "Send diagnostics", a redacted diagnostic report (no names, notes, files or credentials). We do not use behavioral analytics or session replay.
- Purchases. If you subscribe, Apple or Google process the payment and RevenueCat confirms the subscription to us. We never see your card details.
- Push token. Only if you enable reminders, so your device can receive them.
What we do not collect
- Location, contacts, calendar or health data.
- Photos beyond the single avatar you select (which is resized and stripped of metadata before upload).
- Advertising identifiers.
AI features
- AI-assisted practice planning. When you choose the AI-assisted option, we send your practice constraints (age group, sport, minutes, focus areas, equipment, player and coach counts) and the identifiers and summaries of eligible drills to Anthropic's API. Player names and notes are never sent. The automatic planner works without AI and is used whenever AI is unavailable.
- PDF stat import. When you start a PDF import, the file is uploaded to our private storage and sent to Anthropic's API to extract the box score. Player names appearing in the document are included because they are needed to match your roster. The file is deleted from our storage when the import completes or is canceled, and no later than 24 hours after a failed attempt. The extracted values are shown to you for review before anything is saved.

Who we share it with
- Supabase — database, authentication, file storage and server functions. Privacy policy.
- Anthropic — AI processing for the two features above, only when you use them. Privacy policy.
- RevenueCat — subscription status for Apple and Google purchases. Privacy policy.
- Expo (Expo Application Services) — delivers push reminders and app updates. Privacy policy.
- Apple and Google — payments, push delivery and app distribution under their own terms.
- YouTube — drill videos stream from YouTube only when you press play; YouTube may set cookies at that point. Google privacy policy.
- Vercel — hosts this website. Privacy policy.
We do not sell personal information.
Children and minors
Diamond Coach Pro+ is for adult coaches. We do not knowingly collect information directly from children. Coaches are responsible for any consent their league or local law requires before entering a minor's information. If a parent or guardian believes a child's information was entered without consent, email support@diamondcoachpro.app and we will work with the coach to remove it.
Your rights and controls
- Export. In the app: More → Account → Data & privacy → Export my data. You receive a download link for a complete copy of your account data, including archived and unresolved migrated records.
- Delete. In the app: More → Account → Data & privacy → Delete account. You re-enter your password, then a deletion job removes your data and sign-in and shows its progress. You can also email us and we will delete within 30 days after verifying the request.
- Correct. Nearly everything is editable in the app. Email us for anything else.
Data retention
We keep your data while your account exists. After deletion, live systems are cleared by the deletion job and encrypted database backups expire within 90 days. Uploaded PDFs are removed as described above; generated report files live only in your device's private cache and are cleared after sharing. Operational logs contain identifiers and timings, never names, notes or files.
Security
Data in transit uses TLS. Data at rest is encrypted by our hosting provider, and the copy on your phone is stored in an encrypted database protected by your device's secure keystore. Access is scoped per account with row-level security, so other coaches cannot read your teams. Sign-in sessions are stored in the device keychain.
Changes
Material changes are announced in the app. Minor clarifications update the date above.
